Needs Analysis, Implementation Planning, project management and Process Design
The first step towards a successful software solution is to determine the needs of your organization. This is generally accomplished with a diagnostic, the scope of which can range from simple to very detailed. Many diagnostics are completed with one (or multiple) Q&A sessions with the sales staff to identify your most pressing needs; more complex needs may necessitate a full-scale diagnostic engagement consisting of a fit analysis and complete requirements definition. After the diagnostic has been completed, the four cornerstones of a successful solution - project planning and management, training and setup, customization, support - begin to shape the project. Trained business application experts and custom programming professionals design modifications or total custom programs suited to client needs. During this process, we will review our methodology to ensure a successful implementation, create the project plan with the client, and assign roles, tasks, and responsibilities. We will also set deadlines and milestones of the implementation. We will then proceed to have several meetings or discussions resulting in a finished deliverable that acts as a road map for the project. In order for data to be useful to your organization's success, the information must meet the criterion that is unique to your industry, your enterprise, and your individual departments.
Installation
Here we will install the software and setup a test company. We will set up all workstations, test printing and install any bundled software. At previous meetings, we will have ensured that the network is ready for the new installation.
Implementation and Configuration
Software must be implemented (setup) before it can be used to process day-to-day business transactions and deliver reporting that is needed to successfully operate your business. At this point, transition from the Sales process to the Implementation process occurs. This is the roll-out portion of the project where all of the setup screens are processed, forms are changed, screens are modified, and the project is configured - all from the design and discovery already accomplished.
Data Conversion
If data conversion was included and determined at the sales process, we now start to convert the data for the anticipation of "Go Live". If it was not determined, we can still convert the data at any stage of the project.
Development
Sometimes a system will require customizations, which can include new reports, form changes, application functionality changes, changes in financial statements, screen changes, or minor changes. At this phase, we take care of all of the known customizations that are needed.
Training
Your employees are trained on the specific applications that they need training on. Employees are either trained at your location or ours, but the most important part of this phase is focus, so whenever possible, we try to have a formal training environment.
Go Live Assistance
Your dedicated project manager comes to your location and interviews your employees. Are they ready to go live? Do they know how to do their jobs? Do they need more training? Is there one person who simply does not understand? Have there been employee turnover or business process changes? We find the answers to these questions and more at this stage. The excitement of going live on a new system can be hectic and crazy, but with proper management and design, provides new optimism for exciting, new changes. Before you go live, you will take us through a "day in the life". We want you to break the system, provide exceptions; tell us more that we never knew - so when you do go live, there are no surprises. BCINC is always on-site for however long it takes to be sure that your company knows how to utilize its new system.
