Needs Analysis, Implementation Planning, Project Management and Process Design

Business Computing offers a wide range of software products and services. They include but not limited to ERP systems design and integration, IT consulting, analysis, development, installation, implementation, training, go-live assistance & on-going support. When we talk about software implementation & services, we are usually estimating an approximate number of hours to work with a client or organization in the set-up and implementation of the software, and the training of their staff.

The implementation & training for the complete Microsoft Dynamics 365 Business Central system with or without additional components, Add-ons, Apps, etc. is initially estimated at a ratio of 1:1 (Software cost: Services cost) [hourly rate - time & material], pending a more detailed review of the scope of the project.

The review can be done before the purchasing or the leasing. Since no two companies are alike, some key factors affecting that ratio are first whether it's your team or our team that will be doing the implementation, then the complexity of the project, number of people to be trained, customization, report generation assistance, and length of time of the overall project. Speaking of that review, the first step will be to determine the needs of your organization. This will be accomplished with a diagnostic, the scope of which can range from simple to very detailed. After that, the four cornerstones of a successful solution - project planning and management, training and setup, customization, support - begin to shape the project. Trained business application experts and custom programmers design modifications suited to client needs.

During this process, we will review our methodology to ensure a successful implementation, create the project plan with the client, and assign roles, tasks, and responsibilities. This will be followed by several meetings or discussions resulting in a finished deliverable that acts as a road map for the project. In order for data to be useful to your organization's success, the information must meet the criterion that is unique to your industry, your enterprise, and your individual departments.

Installation, Set-up & Implementation

Here we will install the software and setup a test company. The goal here will be to run testing cycles; reports will be used to verify the data of the new system. We will set up all workstations, test printing and install any bundled software. At previous meetings, we will have ensured that the network is ready for the new installation. Software must be implemented (setup) before it can be used to process day-to-day business transactions and deliver reporting that is needed to successfully operate your business.

At this point, transition from the Sales process to the Implementation process occurs. Here, all of the setup screens are processed and modified, forms are changed, and the project is configured.

Data Conversion

If data conversion was included and determined at the sales process, we now start to convert the data for the anticipation of “Go Live”. If it was not determined, we can still convert the data at any stage of the project.

If data-conversion needs to be done but was not included, the actual data will have to be exported and imported by the client or project manager. In this scenario, BCI will train and assist the client or project manager; however, we will not run the data export-import process.

Business Computing will develop the data ports required to import the data into Navision tables.

Development (Customization)

Although we discourage this option unless it's absolutely necessary, sometimes a system will require customization, which can include new reports, form changes, application functionality changes, changes in financial statements, screen changes, or some other minor changes.

If it's determined that these changes are critical and that the business cannot run it's day to day operations, then an estimate will be provided for the customer's approval. At this phase, we would then proceed with the customization.

Training

BCI is proposing the “train-the-trainer” approach to the training. We discovered that the overall emphasis on ownership and buy-in is much greater when training is delivered within the organization. Your employees are trained on the specific applications that they need training on. Employees are either trained remotely or on-site, but the most important part of this phase is focus, so whenever possible, we try to have a formal training environment. The project manager comes to your location, meet your employees, make sure they are ready to go live, know how to do their jobs, get more training if needed, etc.

Go-Live Assistance

The excitement of going live on a new system can be hectic and crazy, but with proper management and design, provides new optimism for exciting, new changes.

Before you go live, you will take us through a “day in the life”. We want you to break the system, provide exceptions; tell us more that we never knew – so when you do go live, there are no surprises. BCI is always on-site for however long it takes to be sure that your company knows how to utilize its new system.

On-Going Technical Support

Business Computing is there to support you before, during, and after your project – period, the end. With dedicated telephone, remote and on-site support consultants, our team is second to none with an average response time of one hour or less. BCI highly-trained consultants will become an extension of your various departments to provide focused support and expert technical support for your business. We work closely with your contacts and the technical departments of the software publishers to resolve your issues. A problem is never considered done until you say it is done!
